How do I use your shop?

Shopping online with us is easy. Simply browse through our products department by department or use the quick search facility (available on every page) to locate something specific quickly. You could also try a more advanced search (link to this facility available under quick search box).

Once you've found something, you just need to select the appropriate product options (if any), enter a quantity figure and click 'Add to basket'.

At this point, you will be transferred to your basket (to confirm the new addition) where you can choose to either 'Continue' (shopping with us - selecting this option will return you to our home page) or 'Checkout' to begin the purchase process.

Remember, you can check and amend the contents of your basket at any time via the 'View' link at the top right of every page, or proceed straight to the checkout by using the 'Checkout' link.

If you prefer to place your order by telephone, please contact one of our members of staff between the hours of 0900 - 1730 GMT Monday - Saturday on +44 (0) 1865 247414 (calls charged at standard UK rates). We are also happy to receive orders by fax on +44 (0) 1865 724379.

What happens next

Once you have placed your order with us, you will be sent an automatic email confirmation. You should note that this email does not necessarily confirm our acceptance of your order, only our receipt of it.

Shortly afterwards, we will contact you again (with the full details of your order) to confirm our acceptance.

Payment will not be taken until your goods are ready to dispatch except in the case of special order products designed to individual customer specifications, where payment will be taken in advance.

I can't find what I'm looking for - can you help?

The University of Oxford Shop offers a vast array of officially branded merchandise and we hope that our shop is organised in such a way that finding anything you might wish to purchase from us is easy and pleasurable.

However, if you're looking for something very specific and you still can't find it on our site (even after having tried our advanced search facility), please contact us to ask for assistance and we'll see what we can do to help.

Can I open an account with you?

Yes and no.

We do offer a shop login facility which allows for a speedier checkout and offers such options as saving of the basket for later completion and storing of billing / delivery addresses but we don't offer payment on account at present. All orders must be paid for by credit / debit card in advance online.

Creating a shop login

If you don't already have a shop login with us, you need only to place an order online with us and an account will automatically be created for you (a username and password will be sent to you via email upon our receipt of your order).

If you'd rather we didn't create a login for you, however, you need only to advise us of this by selecting the appropriate option during checkout.

Can I save my basket contents for later?

Yes you can. As long as you are a registered customer with us.

Provided you have logged into our shop, basket contents can be saved and retrieved from your account for up to 30 days. So you can always start shopping now and complete your order later.

You don't even have to login on the same computer each time. Stored baskets are attached to your shop login account (rather being saved on your computer and can therefore be accessed from anywhere (with the correct login details to hand).

Saving an unfinished order

Once you've logged in you can use the 'Save' button when viewing your basket to store its contents. Then, when you return later to complete your order, log in again, follow the 'View' basket link at the top of the page and use the 'Retrieve' button from the view basket page.

Note that you can only retrieve a saved basket if your current basket is empty.

N.B: As stock in our shop changes frequently, please note that some items may no longer be available when you come to complete your order from a saved basket.

How will you protect my privacy?

The University of Oxford Shop is committed to protecting your privacy.

As such, we will never rent or sell your information to third parties, nor will we mis-use such information in any other way.

All personal information we collect from you is voluntarily supplied in the course of placing your order and / or making your enquiry, and is only used to properly fulfil the order / provide effective customer service or respond to the enquiry - in accordance with the Data Protection Act 1988.

Such personal information might include (but is not limited to): your name; your address; your contact telephone number; your email address; your order details; your credit / debit card details; details of the enquiry.

N.B.: Customers should note that portions of data supplied to us in the course of placing an order will need to be passed to third parties outside of the University of Oxford shop, such as parcel carriers and our online payment service provider (Secure Hosting). The passing on of customer data in this way is necessary to the proper fulfillment of the order.

Statictical data collection

In addition to personal information voluntarily supplied by you, we also collect aggregate statistical data regarding the use of our website, in the interests of assessing its effectiveness and continually improving its content. Such information cannot and does not personally identify individual visitors to our site, so does not compromise any individual's privacy.

Checking our records

If you would like to check any information we might hold for you (e.g. your name, address, telephone number and email address) or you would like any of the information corrected or deleted, please contact us by email via shop@oushop.com  or by telephone on +44 (0) 1865 247414.

N.B: It should be duly noted that customer records are only retained by The University of Oxford Shop for as long as is specifically required by law (currently 7 years for tax auditing purposes), after which, such records are carefully and completely destroyed.

Cookies

Customers should note that cookies are used on this shopping site to enable the tracking of basket contents through to checkout and the correct operation of the shop login facility during a 'web session'.

Where acceptance of cookies is disabled within the browser, difficulties may be experienced in ordering online from us.

Future contact

In providing effective customer service, we may later wish to use your voluntarily supplied contact data in order to inform you of updates to our products and services, special offers etc.

If you would prefer us not to contact you in this way, simply exclude yourself from our mailing list when making an enquiry or placing an order online with us.

Do you offer a gift wrapping service?

Our gift wrapping and personal message service is currently unavailable due to the high number of orders. We apologise for any inconvenience caused and are hoping to re-instate this at some point in the future.

How do I know my size?

Unless otherwise stated, the following chest measurements are applicable to the majority of our clothing.

Men / unisex

XXSmall: To fit chest 32-34" (81-86cm)
XSmall: To fit chest 34-36" (86-92 cm)
Small: To fit chest 38-40" (96-102 cm)
Medium: To fit chest 40-42" (102-107 cm)
Large: To fit chest 42-44" (107-112 cm)
XL: To fit chest 44-46" (112-117 cm)
XXL: To fit chest 46-48" (117-122 cm)

To work out the correct chest size, measure the fullest part of the chest, with the tape positioned close up under the arms.

N.B: We have found that, in general, our customers require a size smaller than they would usually wear in the men / unisex range - where this is not the case though, it will be mentioned in the individual product description.

Women

XSmall: To fit bust 32" (82 cm)
Small: To fit bust 34" (87 cm)
Medium: To fit bust 36" (92 cm)
Large: To fit bust 38" (97 cm)
XL: To fit bust 40" (102 cm)

To work out the correct bust size, measure the fullest part of the bust, with the tape going across the shoulder blades.

6-12 months: Chest 20" (51cm), Length 11.5" (30cm)

3-4 years: Chest 25" (64cm), Length 16" (42cm)

To work out the correct chest size, measure under the arms at the fullest part around the chest.

In what currency are your prices displayed?

All items are priced in pounds sterling (GBP).

If ordering from outside the UK, don't worry, your credit / debit card company will automatically make any currency conversions for you.

Checking prices before you order

To check prices in your own currency before you buy, please use the XE.com [opens in new window] Personal Currency Assistant™. A link to this is provided beside each product price, on the view basket page and during the checkout process.

Are your prices subject to any tax charges?

All goods sold for delivery to the UK (excluding the Channel Islands) and the European Union (EU) are subject to UK VAT at 17.5% (or 0% for children's clothing and books).

Our VAT registration number is 596 074 309.

Display and application of VAT for UNREGISTERED customers

For unregistered customers, prices are displayed on our product pages both as VAT inclusive and VAT exclusive figures for ease of reference, regardless of the proposed future delivery location.

The only exception to this rule is within the search facility where price range searches are based on the just VAT exclusive figure and, accordingly, VAT exclusive prices alone are displayed within the results.

Within the basket (before checking out), UK VAT is applied to all product selections made by unregistered customers. This is later removed during the first stage of the checkout process, however, should the specified delivery location be outside of the UK or EU.

Display and application of VAT for REGISTERED customers

For registered (and logged in) customers, prices will either be displayed on our product pages as both VAT inclusive and VAT exclusive figures or as a single VAT inclusive or exclusive figure (as appropriate to the registered delivery location in the shop login account).

By default, shop login accounts are set to allow the selection (and entering new) of multiple delivery (and billing) addresses during the checkout process and in this situation, the application of tax can obviously not be forseen, therefore UK VAT is applied until such time as the delivery location is known during the first stage of the checkout process (as with unregistered customers).

The specification and 'fixing' of a single allowed delivery and / or billing address for an account is available upon request.

Within the basket (before checking out), UK VAT is applied to all product selections should the delivery location not be 'fixed' as described earlier. As with orders from unregistered customers, this is later removed, however, should the specified delivery location be outside of the UK or EU.

Regardless of login status, the search facility still operates using VAT exclusive figures.

Tax on delivery charges

Our delivery charges are exempt from VAT, regardless of delivery destination.

Taxes applicable to delivery destinations outside of the EU

Although UK VAT would not be applied to goods delivered outside of the EU, any and all other taxes / duties that may or may not be levied by the delivery destination country against the goods upon their receipt (e.g. import taxes) - which obviously cannot be forseen by The University of Oxford Shop - would be the responsibility of the purchaser.

What payment options do you offer?

Payment can be made online via credit or debit card - we accept Visa / Mastercard, American Express, Diners Club, JCB, Switch, and Solo.

Please note that orders cannot be processed without full payment, and no goods can be dispatched until a credit / debit card payment has been authorised.

No payment is taken until the date of dispatch except in the case of special order products designed to individual customer specifications, where payment will be taken in advance.

Will my card details be secure?

All credit / debit card details submitted through our eshop are encrypted and protected from interception by the 128 bit Secure Socket Layer (SSL) technologies of our trusted third party payment services partner, Secure Hosting - a fully PCI DSS compliant organisation.

Encrypted payment card details are stored safely and invisibly online by Secure Hosting until processed (once the order is ready for dispatch). Such details are never downloaded to local systems by the University of Oxford shop and no card details are held in clear text on any website.

We know of no documented cases of credit / debit card fraud resulting from using our eshop.

Where do you deliver to?

Orders can be delivered throughout the United Kingdom (including the Channel Islands), European Union, United States, Canada, Australia, China, Taiwan, Hong Kong, New Zealand, and Japan.

At the first stage of the checkout process, you will be offered a list of locations from which to select your delivery destination.

N.B: If you're ordering from the Channel Islands or Northern Ireland, please select 'Channel Islands' or 'Northern Ireland' (as appropriate) for your delivery destination, rather than the United Kingdom.

How much do you charge for delivery?

Carriage charges are based on total order weight, destination, and class of service selected. Customers may choose from standard delivery (via Royal Mail in the UK / Airmail overseas) or the faster (but more expensive), private courier option which is trackable and requires a signature upon delivery.

Prices for the UK start at £3.95 for stardard delivery and £10.50 for courier.
Prices for Europe start at £5.50 for standard delivery and £21.00 for courier.
Prices for the USA and Canada start at £9.95 for standard delivery and £23.50 for courier.
Prices for the rest of the world start at £12.50 for standard delivery and £25.00 for courier.

N.B: Delivery options offered may be limited to private courier only with larger orders and / or certain destinations.

Delivery charge taxes

Our delivery charges are exempt from VAT, regardless of delivery destination.

Application of delivery charges in the basket

For unregistered customers, initially, your basket will be shown without delivery charges applied. However, at the beginning of the checkout process you will be given the opportunity to specify your order's delivery destination. This information will then allow us to calculate the appropriate delivery charge to apply to your order.

Registered customers with a single 'fixed' delivery address should see their charges calculated (and re-calculated as items are added / removed) from the outset.

Those registered customers without a single allowed delivery address will need to specify the destination of their order at the start of the checkout process in order to see their delivery charges applied in the basket.

N.B: Please note that where multiple delivery options exist for a destination, delivery charges may not in fact be calculated until the point of delivery method selection during the checkout process.

What happens if my billing and delivery addresses are different?

If you require the dispatch of your order to an address other than the billing / cardholder's address, simply specify that your delivery address will be different from your billing address at the start of the checkout process and you will be offered the opportunity to enter / select the alternative details later in the process.

How long will my order take to reach me?

All orders received before 12 noon GMT are despatched on the same working day (assuming stock is available). Orders placed after 12 noon GMT Friday will be despatched on the following Monday.

In the case of special order products designed to individual customer specifications, a delay may apply to allow for production of the item. This will be stated in the individual product description, where applicable.

The length of time an order takes to reach its intended destination will depend on the location. UK inland orders will typically arrive within 2 - 3 days of despatch but it is likely that overseas deliveries will take 2 - 3 weeks.

In addition, please be advised that we are unable to make any deliveries during weekends (any destination) or over bank holidays (UK only).

We also offer express courier delivery which is next day delivery for UK mainland destinations, 1 - 2 for Europe, 2 - 3 days for USA and Canada, and 3 - 5 days for the rest of the world.

Can I track my order?

Orders dispatched by private courier are traceable. Online tracking details are supplied via email once the order has been dispatched.

Orders dispatched under the standard service are not trackable.

What should I do if my goods don't arrive?

Packages sent by private courier are traceable and are very rarely lost. You will be sent tracking information when your parcel has been shipped.

Packages sent overseas via Airmail are despatched within the UK and then passed over to the country's regular postal system. While these postal systems do try to deliver all parcels, there are occasions when losses happen. If this occurs, please allow 21 days from the date of dispatch for the package to arrive. If this time elapses and the goods do not arrive, please contact your local post / sorting office to check that no goods are being held.

In the unlikely event that the package is not being held at your local post / sorting office, please contact us and we will be happy to assist in sending a replacement while our investigations into the whereabouts of your parcel continue.

What happens if some or all of my order is out of stock?

In the unlikely event of stock shortages preventing us from completely fulfilling your order with us, we will automatically put the out-of-stock items on back order for you (where supplier stock is available). You will always be notified if this is the case (along with an expected delivery timescale) and of course be given the option to cancel your order if you would rather not wait.

If just part of your order is unavailable at the time of placing, the available items will be sent to you with the out-of-stock item(s) to follow.

Your credit / debit card will not be charged for the out-of-stock item(s) until their dispatch.

What is your cancellation / refund policy?

Customers have the right to cancel their order and receive a full refund at any time before it is dispatched or within 28 days of its receipt.
We regret that we are unable to offer a refund for special order items made to individual customer specifications except in the case of faulty goods.

How to cancel

To cancel an order with us, please contact us as soon as possible after placing it. If we receive your instruction prior to dispatch then your credit / debit card will not be charged.

If, however, your order has already been dispatched, you will need to await its receipt and then return the goods to us (should you still wish to cancel) unopened and in re-saleable condition in order to receive a full refund of the purchase price (note that this does not include any postal charges incurred in either direction).

How do I return an item to you?

Return periods

For faulty or defective goods returned to us, a refund or exchange is offered up to 12 months from the date of receipt.

Refunds for correctly delivered and undamaged items are available within 28 days of the goods' receipt except in the case of special order items made to individual customer specifications, where we regret that we are unable to offer a refund for except in the case of faulty goods.

Recommended return delivery method

We recommend the use of a recorded-delivery service, for your own protection, since we cannot be held responsible for any returned goods that are lost in transit, without proof of our receipt.

Please note that you will be responsible for both the costs of returning the goods to us and the outward delivery charges, unless we delivered the item to you in error or it is faulty.
